STRATEGIC COMMUNICATIONS

STRATEGIC COMMUNICATIONS GENERAL RULES OF ENGAGEMENT


  1. All projects must be submitted through the Creative, Digital or Web Request Systems.

    These systems can be accessed in the MySJRstate portal under the Employee tab and in the right-hand column under “Employee Services and Information” blue dropdown “Strategic Communications.”
  2. If an automatic acknowledgement of the project request is not received, follow up with a member of the Strategic Communications team to ensure the project has been entered into Request System queue.
  3. Your department is responsible for thoroughly completing the Request System form.
  4. A follow-up communication with the Strategic Communications team may be necessary to complete the job.

    If you are contacted by a team member and do not respond, the job will NOT move forward, and the team member will move on to another job.

    This may delay the timeline on completing the job.
  5. Your department is responsible for all proofing.

    • Your email approval is required before a project is sent to print production.
    • You will have the opportunity to edit and revise the project TWO times, the original proof and the review of changes.
  6. Please provide a reasonable timeline for requests.

    See below for project development timelines, not including printing time.

    Our goal is to exceed your expectations. Many jobs may be completed in a shorter time period.
    • Creative Services Request (Print Projects) *
      • Reprints with no changes (2 weeks)
      • Reprints with changes (2-4 weeks)
      • New Projects (4-6 weeks)
      • Quantity may require out-of-house printing (allow 5 weeks) depending on scope of work.
    • Digital Services Request *
      • Social Media Post (24-hour notice, some exceptions – advanced planning preferred)
      • Campus Screens/Tvs (1 week)
      • Email Campaign (1 week)
      • Digital Ad Campaign (1-2 weeks)
    • Public Relations Services Request *
      • Press Release (2 weeks)
      • Portal Announcement (1 week)
      • Student/Alumni Spotlight (2 weeks)
      • Event Planning (4 weeks)
      • Photo Request (College-wide events) (1 week)
      • Viktor the Viking (1 week)
      • Giveaway - Quantity under 50 (same day; 50+ call for details)
      • Community Event Participation (4 weeks)
    • Website Services Request *
      • Minor Changes (24 hours advanced notice)
      • Extensive changes (3 to 5 days)
      • New pages (2 to 5 weeks)
      *Required completion time subject to scheduling changes.

  7. Project Delays

    • If project delay is due to your department, then the project may be moved to bottom of priority list.
    • If project delay is due to the Strategic Communications team, we will provide a new deadline and ensure it becomes the department’s highest priority.
